The GDPR is a new legal framework from the EU that takes effect on 25th May 2018.  It is an updated version of the Data Protection Act of 1998.

This is the privacy notice of Envision Corporation Limited trading as Simply Lettings.  In this document, “we”, “our”, or “us” refer to Envision Corporation Limited trading as Simply Lettings.

We are company number 74998844 registered in the United Kingdom.

Our registered office is at 50 Goldstone Villas, Hove, East Sussex, BN3 3RS.

Introduction

This is a notice to inform you of our policy about the information that we record about you.  It sets out the conditions under which we may process any information that we collect from you, or that you provide to us.  It covers information that could identify you (‘personal information’) and information that could not.  In the context of the law and this notice, ‘process’ means collect, store, transfer, use of or otherwise act on information.

Except as set out below, we do now share, or sell, or disclose to a third party, any information collected through our website.

Through certain actions when otherwise there is no contractual relationship between us, such as when you browse our website or ask us to provide you more information about our business, including our products and services, you provide your consent to us to process information that may be personal information.

Sometimes you might give your consent implicitly, such as when you send us a message by email to which you would reasonably expect us to reply.

Except where you have consented to our use of your information for a specific purpose, we do not use your information in any way that would identify you personally.

Information we gather and process for the purposes of legitimate interests

Personal data is essential to the successful operations of our business and we therefore obtain and record personal information.  This may include, names, addresses, telephone numbers, email addresses and other personal information relating to the relationship between the customer and our business.

We may use this information to contact you by post, email, telephone or SMS if you have a legitimate interest in our services.  For you to remain on our marketing list, we will need to keep a record of your ‘personal data’.

We may only share your personal data with third parties with whom we work closely with such as landlords and contractors or if we are requested to do so by law.

Access to information

You have the right to request access to the information we have on you.  You can do this by contacting us at lettings@simply-lettings.co.uk.

We will make sure to provide you with a copy of the data we process about you.  In order to comply with your request, we may ask you to verify your identity.

We will fulfil your request by sending your copy electronically, unless the request expressly specifies a different method.  For any subsequent access request, we may charge you with an administrative fee.

You can contact us at any time to:

  • Request access to information that Simply Lettings has about you.
  • Correct any information that Simply Lettings has about you.
  • Delete information that Simply Lettings has about you.

Verification of your information

When we receive any requests to access, edit or delete identifiable information, we shall first take reasonable steps to verify your identity before granting you access or otherwise taking any action.  This is important to safeguard your information.

Information we process because we have a legal obligation

We are subject to the law like everyone else.  Sometimes, we must process your information to comply with a statutory obligation.

For example, we may be required to give information to legal authorities if they so request or if they have the proper authorisation such as a warrant or court order.

This may include your personal information.

Use of site by children

We do not provide services or market to children.  If you are under 18 and are using our website, you must gain consent from a parent or guardian.

Encryption of data sent between us

We use Secure Sockets Later (SSL) certificate to verify our identity to your browser and to encrypt any data that you give us.

Whenever information is transferred between us, you can check that it is done so using SSL by looking for a closed padlock symbol or other trust mark in your browser’s URL bar or toolbar.

We do not use Cookies

An HTTP cookie is a small piece of data sent from a website and stored on the user’s computer by the user’s web browser while the user is browsing. Cookies were designed to be a reliable mechanism for websites to remember stateful information or to record the user’s browsing activity. They can also be used to remember arbitrary pieces of information that the user previously entered into form fields such as names, addresses, passwords, and credit card numbers.  Simply Lettings do not use Cookies on their website.

Our website may contain links to other sites.  Simply Lettings are not responsible for the privacy practices or the content of such websites.  It is recommended that you view and read the privacy policies of every website that collects data.

How you can complain

If you are not happy with our privacy policy or if you have a complaint, then you should tell us by email.  Our address is lettings@simply-lettings.co.uk.

If a dispute is not settled, then we hope you will agreed to attempt to resolve it by engaging in good faith with us in a process of mediation and arbitration.

If you are in any way dissatisfied about how we process your personal information, you have a right to lodge a complaint with the Information Commissioner’s Office.  This can be done at https://ico.org.uk/concerns/

Retention period for personal data

Except as otherwise mentioned in this privacy notice, we keep your personal information only for as long as required by us:

  • to provide you with the services you have requested;
  • to comply with other law, including for the period demanded by our tax authorities;
  • to support a claim or defence in court.

Compliance with the law

Our privacy policy has been compiled to comply with the law. If you think it fails to satisfy the law, we should like to hear from you.

We may update this privacy notice from time to time as necessary.  The terms that apply to you are those posted here on our website on the day you use our website.  We advise you to print a copy for your records.
